Location: Warsaw, Mazowieckie, Poland Type: Permanent Job #25214 Job Title: Lease Administrator (Remote) – Poland Location: Remote (Anywhere in Poland) Job Summary: We are seeking a meticulous and organized Lease Administrator to join our team. As a Lease Administrator, you will be responsible for managing and administering lease agreements for our properties across US and EMEA. This role requires attention to detail, excellent communication skills, and a thorough understanding of leasing regulations and procedures. The ideal candidate will thrive in a remote work environment and possess the ability to work independently while collaborating effectively with team members. Key Responsibilities: Lease Agreement Administration: Administer lease agreements for commercial and residential properties, ensuring accuracy and compliance with relevant regulations and company policies. Maintain comprehensive lease records and databases, including lease terms, rental payments, and lease renewals. Tenant Communication and Support: Serve as the primary point of contact for tenants regarding lease-related inquiries, requests, and issues. Facilitate effective communication between tenants, property managers, and other stakeholders to address concerns and resolve disputes. Lease Renewals and Negotiations: Coordinate lease renewal processes, including preparing renewal notices, negotiating lease terms, and updating lease agreements as necessary. Collaborate with property owners and legal professionals to ensure lease agreements reflect current regulations and market conditions. Rent Collection and Financial Management: Monitor rent payments, track delinquencies, and follow up with tenants as needed to ensure timely payment. Work closely with accounting teams to reconcile rental income, fees, and expenses, and assist in resolving discrepancies. Compliance and Regulatory Oversight: Stay abreast of relevant leasing laws, regulations, and industry standards in Poland and ensure lease agreements comply with legal requirements. Assist in preparing documentation for regulatory audits and inspections, maintaining accurate records to demonstrate compliance. Process Improvement and Documentation: Identify opportunities to streamline lease administration processes and enhance efficiency through the use of technology or revised procedures. Document lease administration workflows, policies, and best practices to facilitate training and knowledge sharing among team members. Qualifications: Bachelor’s degree in Business Administration, Real Estate, or a related field. Proven experience in lease administration, property management, or a similar role. Strong understanding of leasing regulations, contract law, and property management principles. Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. Proficiency in using lease management software and Microsoft Office applications. Effective communication skills in English both written and verbal. Ability to work independently and collaboratively in a remote team environment. Beneficial Qualifications: Certification in Property Management or Lease Administration. Experience working remotely or in a virtual team setting. Experience working on the US market would be a bonus.
